Merchant Onboarding Process for Swipe Card POS Machines

Choose a POS Provider

Start by selecting a bank or payment service provider that fits your needs:

  • Banks: Offer POS terminals tied to your current account.

  • Payment Companies (e.g., NTT Data Payment Services) Provide faster onboarding, smart pos xoptions, and multi-payment support.
Consider transaction fees (MDR), device type (mPOS, Android POS, countertop), and rental vs. purchase costs.

2. Submit Business Details

Providers need proof you’re a legitimate merchant. Typically required:

  • Business PAN card

  • GST certificate or shop license

  • Bank account details (current or savings)

  • Address proof (utility bill, lease, etc.)

  • ID proof (Aadhaar, passport, voter ID)
Some providers also request business registration certificates for larger merchants.

3. KYC Verification

  • Your provider will verify all submitted documents and run a background check.

  • Most fintech POS providers complete this digitally in 24–48 hours.

  • Banks may take 3–5 working days.

4. Merchant Agreement

Once verified, you’ll sign a Merchant Service Agreement outlining:

  • MDR (Merchant Discount Rate) per transaction

  • Rental or purchase fees

  • Settlement timelines (T+1, T+2)

  • Terms for refunds, chargebacks, and service support

5. Device Allocation and Setup

  • Your POS machine is dispatched after documentation approval.

  • The device is preloaded with your merchant credentials (MID and TID).

  • You’ll receive instructions for Wi-Fi, GPRS, or app setup.

6. Training and Activation

  • Providers or their agents walk you through:

    • How to swipe, tap, or insert cards

    • Accepting UPI, wallets, and EMI

    • Printing receipts

    • Running settlements and reports

  • Some providers also offer video tutorials or a dedicated merchant dashboard app.

7. First Transaction Test

  • A small-value transaction is processed to ensure the machine works.

  • Funds are settled into your bank account based on your provider’s payout cycle.

8. Ongoing Support

  • After onboarding, you get access to:

    • 24/7 merchant helplines

    • Device replacement policies

    • Regular software updates

    • Reporting tools for sales, refunds, and settlements

      Quick FAQ

      1. Can individuals (not companies) get a POS machine?
Yes. Many providers allow self-employed individuals to onboard with a savings account, Aadhaar, and PAN card.

      2. Is GST registration mandatory?
